TITLE:Reservations Agent

REPORTS TO:Reservations Manager

LOCATION: Canary Wharf

Salary:£27K + discretionary bonus per annum

Working Hours: Monday to Friday (weekends as and when the business requires)

The Role

As a Reservations Agent, your role is to deliver a 5* consistent service at the back end of our operation. You are joining one of the most important teams in the company, turning our vision into a reality every single day. You must be a thorough organiser and will be responsible for overseeing processes and procedures when handling bookings for our properties.

You will need to have great care, passion and commitment. You are an exceptional communicator, which means you are an even better listener. You inspire confidence and trust. It is your job to communicate the experience and to promote the service that we want our members to have. There is no such thing as its not my job in this team.

Specifically, this is a great position for a person interested in learning the day-to-day expectations of a Co-Living space. You will be part of a reservations team, communicating and supporting the day-to-day experience for our members. You will be working 5 days a week. Weekend work may be required during peak periods.

Requirements and Responsibilities:

Manage the daily reservations process including room inventory, and availability, individual reservations, allocations, rooming lists and restrictions.

Process direct and (online) travel agent short stay reservations and booking enquiries: answer and/or delegate calls, process emails and answer enquiries in a friendly and professional manner, input reservations, process payments/monitor billing accounts, manage different systems/extranets to make sure inventory is up to date.

Process no-shows and cancellations on third party extranets.

Be aware of contracted rates and the company benefits or restrictions attached to them.

Perform daily arrival checks supporting the Hub Hosts and Hub Leader, ensuring rates are correct with the appropriate rate code.

Actively convert individual short stay enquiries into confirmed business, and where possible, into direct bookings.

Identify inventory and pricing issues and highlight these to the management team.

Maintain positive member relations and ensure all requests are handled quickly and efficiently.

Manage requests for information, rates and general enquiries

Maintain complete knowledge of and comply with all departmental policies/service procedures/internal data input standards.

Maintain complete knowledge of all property facilities/services; room types and bed types; room availability and restrictions; rate plans, packages and promotions; and the revenue management strategy set by the Revenue Manager.

Promote special offerings and packages and use available upselling tools in order to increase all possible ancillary revenue income.

Be aware of and promote all internal events to members during the enquiry and booking stage.

Support Reservations, Sales and Revenue teams with administrational tasks.

Passionate about Co-Living and hospitality

Ability to be flexible with working hours and days

Hospitality experience is desirable
