Senior Administration Manager - Cardiology & Respiratory, Band 5

The post holder will support the Cardiology & Respiratory Management Team to deliver the objectives of the service lines. Will support in the delivery of both National and Local targets and work in close partnership with multidisciplinary teams to drive improvement, embed change and standardise practices, based on local requirements. The post holder will build strong relationships with both clinical and non-clinical colleagues to ensure the smooth running of the service. Main duties of the job

This key post will be responsible for the line management of administrative and clerical staff and the day-to-day running of administrative functions: Ensure that all staff are managed appropriately and within the parameters set by the service lines General Management Team. Ensure that the administrative services are appropriately resourced and training needs met. Undertake regular administration reviews to ensure appropriate administrative resources are allocated to appropriate clinical areas. Ensure that administrative services function effectively on a day-to-day basis, supporting the needs of the service lines and their patients. Support and motivate the administrative workforce to focus on the needs and experience of the patients and their families. Performance management of staff to ensure a high standard of work for the benefits of patients, consultants and management. Ensuring there is adequate cover for the administration team during periods of absence, including but not limited to, sickness and/or annual leave. Promote a culture of continuous improvement and share this knowledge across the Trust to improve efficiencies, improve patient care and reduce costs. Ensure implementation and continual compliance with relevant Standard Operating Procedures [SOPs]. Ensure all information is secure and confidentiality of information is maintained at all times. Job responsibilities

Whilst the organisation and structure within specialities/divisions may vary the specific remit of this role will include: To support the General Management Team and colleagues to achieve National and Local Targets. To provide day-to-day management of Administration team. Providing advice, support and leadership for daily issues within managed areas. To support the General Management Team in the development of business cases by providing accurate data and information. To assist the General Management Team in regards to recruitment of clerical staff. To analyse complex and conflicting data from multiple sources. To support with Demand and Capacity planning. To support the General Management Team to redesign, develop and implement new processes within the Trust to improve patient pathways, access and quality of care. To use verbal and non-verbal communication skills to communicate service-related information and proposals to a wide range of personnel. This will involve issues which may be contentious and conflict with expectations of senior medical staff and require sensitivity. This will involve negotiation, persuasion and education in order to gain co-operation as there may be significant barriers to change. To manage and supervise on a day-to-day basis administration and clerical staff to ensure the smooth running of departments. To monitor sickness, annual leave and performance of staff, including compliance of mandatory training.
