Job description Aim of Position: To directly manage a portfolio of blocks and provide assistance to the department as required. Support and mentoring for the role will be provided by the Head of Block Management to ensure targets and standards are maintained. General Responsibilities: To ensure all clients receive an excellent level of customer service while managing the portfolio in line with the client’s instruction, the terms of the Lease, relevant Health & Safety requirements and back office processes and procedures. Role Specific Accountabilities: Directly managing a portfolio of Leasehold blocks Conducting regular site visit inspections for properties within the portfolio Ensure Health & Safety Assessments are conducted and processed correctly Arranging and co-ordinating quotes, repairs, and maintenance for the portfolio Dealing with Insurance claims as applicable Preparing annual Service Charge budgets for completion prior to next financial year, including the input of figures and completion of billing covering letter Approving Annual Service Charge and Company Accounts with the Client Accountant, including the drafting of any required S20B Notices Holding resident and Director meetings for your portfolio, as applicable (Covid guidance permitting) Conducting Section 20 Consultation and assisting the back office with applicable parts of the process Assisting with monthly arrears reports, to assist the back office in dealing with arrears collection prior to legal instruction Managing any onsite staff, including relevant employment related issues (holidays, sickness, etc) Assisting the Senior Management Team as required in light of continually improving department processes and procedures Using the in-house QUBE system, whilst being fully conversant with Microsoft Office packages Progressing any independent projects assigned, as required Maintain an awareness of relevant company procedures Keeping up to date with industry training and relevant legislation Must have the relevant experience, including at least 3 years within the Block Management industry and at least 1 years experience in a similar Block Manager role. It is desirable, but not essential, to be IRPM qualified at Level 3 (Associate) or above, or working towards this qualification. The position requires a highly organised individual with great time management skills. It will be essential to remain calm under pressure and manage changing priorities, whilst working to ARMA and RICS best practice and in line with company processes. A proactive approach to work, with strong team player ethic and high attention to detail will be vital. This is a full time role, Monday-Friday 9:00am-5:30pm (including out of hours meetings, AGMs, etc, as applicable), and a mix of office days (based in Edgware), home working and site visits.
