Job overview

Do you have excellent communication skills and a keen eye for detail? Can you effectively manage multiple tasks and priorities whilst maintaining a strong degree of confidentiality? Wellbeing Suffolk are looking for an extremely professional, conscientious, calm and confident individual to be a Clinical Team Administrator.

This role will be supporting the Clinical Team and managing a team of 8 clinical team administrators. This will involve working closely with professionals and the general public. Working with different electronic patient systems to maintain patient information. This role will offer a variety of tasks, from referrals into Suffolk Wellbeing, making phone calls, updating patient records and general admin support to the clinical teams. Supervising the admin team, ensuring day to day tasks are updated, completing rota for admin team and supporting their needs.

Main duties of the job

Previous administration experience is essential. Full training will be given for this role. You will need to be able to demonstrate the strength of your communication, prioritisation and administration skills at the same time as showcasing your knowledge of IT systems. You will be able to evidence a flexible response to service needs and the ability to think creatively. Experience of working to deadlines, on your own initiative and maintaining strict confidentiality are also essential. Supervisory/management experience essential. Essential criteria: Use of ICT applications/packages. Experience of working in a busy office. Taking and processing referrals via phone and online and extensive knowledge of all Microsoft packages. Dealing efficiently and politely with both internal and external customers in a confidential and confident manner. Professional exceptional interpersonal and customer service skills with a dedication to confidentiality are essential. Working for our organisation

Qualifications Essential criteria: Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at advanced level. NVQ 3 Business Administration or equivalent or willing to work towards. NVQ 2 Customer Services or working towards. Desirable criteria: Knowledge of Trust electronic record system. Experience Essential criteria: Understanding and experience in a full range of secretarial procedures and systems gained through senior level. Skills Essential criteria: ICT skills including Microsoft (especially spreadsheets and presentations, e.g. Excel, PowerPoint) or equivalent. Interpersonal skills including taking a proactive diplomatic approach and ensuring confidentiality at all times.
