This is a part-time opportunity (4 days per week). This role is based in our East Finchley office with 3 days per week on-site and 1 day remote.
What will my accountabilities be? Planning and organisation of meetings/events/dinners, including venue search and booking, issuing invitations and tracking acceptances, budget control Attending some offsite Board meetings including some out of hours travel Extensive travel arrangements Extensive diary management Project management of key UK business meetings including Executive annual Calendar Effective screening of telephone calls, emails and post and wherever possible dealing with issues without referral Pro-active approach to administrative support for executives in order to optimise their time Acting as first point of contact and central information point for the Executive office Typing general correspondence, reports etc. Working closely with Corporate affairs Invoice management Maintaining regular contact with International offices / Executive Assistants Leading on Global Market visits to the UK&I market Leading weekly EA/DA team meetings - Assistants Weekly Office Rota / Holiday cover / Ad-hoc tasks Preparing PowerPoint presentations Preparing boardroom for meetings to include video conferencing, refreshments etc. Maintaining office systems and filing Receiving and welcoming visitors General ad-hoc secretarial duties What Team will I be a part of? We are looking for a results-oriented and forward-thinking Senior Executive Assistant to join our dynamic team; you will be part of our agile Leadership Team. Who are my customers? Leadership Team, Global Senior Management, Global Executive Assistants, Department Heads, Directors, Franchisees, and Suppliers. Qualifications As the team spends a great deal of time travelling and out in our restaurants, the successful candidate will frequently be required to work independently In addition to the basic secretarial skills, candidates will be required to have reached an advanced level in Word, Excel and PowerPoint and demonstrate a flexible and organised approach to their role and changing deadlines The successful candidate will portray a professional image of the team and company to our customers, both internal and external, and have the ability to communicate at all levels As this is a senior position, it requires a person of great discretion because of the confidential and commercially sensitive nature of the information with which they will come into contact.
