Shipping Manager
We are looking to appoint an experienced Shipping Manager to oversee our International and Domestic Shipping operations, ensuring that products are delivered on time and accurately. The position will also manage the Warehouse Team here in Wakefield.
Located just on the outskirts of the city centre, the site is easily commutable from surrounding towns and cities also via M1 and M62.
The ideal candidate will be responsible for managing shipments from overseas suppliers to the UK or Customer destination, and the daily activities of the warehouse ensuring that all processes run smoothly and efficiently. This role requires strong leadership skills, attention to detail, and a commitment to maintaining high standards of safety and productivity.
Job description for Shipping Manager
Manage all imports and exports using the existing set of freight forwarders or introduce your own forwarding suppliers into the business. Work with agents and suppliers on ex-factory dates and shipping methods. Collaborate with overseas shipping agents on consolidation, docking schedules and addressing any potential issues.
Produce a delivery projections report advising the business with docking and delivery dates, distribute packing lists to the relevant Merchandisers.
Direct shipments from Far East suppliers to Customers will require a close working relationship with the Customer shipping departments supplying them with correct packing lists and telex release Bill of Ladings.
Produce Major Customer delivery reports and distribute to Management.
Look after VAT and duty for import shipments and make sure that correct VAT and duty is paid. Correct all duty errors by arranging reimbursement with HMRC or apply for duty debit.
Produce VAT-Duty report.
Ensure that VAT is paid against fabric purchased via Bank Transfer from Head Office to enable import clearance.
Make sure that the Customs Declaration Service account is up-to-date and have sufficient funds to clear goods at port entry.
Ensure the business has all relevant HMRC authorisations to function effectively and efficiently.
Process all courier export and import shipments for departments within the company.
Advise business with all matters concerning international trade law (put correct statements on the export invoices, issue appropriate certificates for overseas shipments, knowledge how to ship goods to various countries and arrange carnets).
Advise Purchasing Department promptly with shipping costs for various garments and countries. Advise business with the cost of sea and air freight and its fluctuation.
Liaise with Customer Service and Sales reps regarding overseas orders and quote the freight rates for new customer orders. Make sure that Irish customers know to pay import duty for the goods waiting in Irish customs to prevent returns.
Be responsible for providing all information during HMRC audits.
Check and approve all forwarders invoices, overseas garment supplier invoices, overseas agent debit notes and forward them to the Accounts and Merchandising.
Deal with insurance and arrange insurance claims with both carriers and our company insurers.
Warehouse Management
Supervise and coordinate warehouse staff, including training and performance management.
Implement and maintain efficient warehouse processes to optimise workflow and reduce costs.
Conduct regular audits of inventory and equipment to ensure accuracy and functionality.
Ensure compliance with health and safety regulations within the warehouse environment.
Develop strategies for continuous improvement in warehouse operations, including implementing best practices.
Prepare reports on warehouse performance metrics for senior management review.
Job description for UK Warehouse Distribution
Knowledge of UK parcel carriers and their portals.
Setting up the distribution tariff for the company.
Help warehouse staff to print daily Courier labels correctly and in a timely manner.
Keep an eye on valid addresses from customer web orders during the despatch process and liaise with Customer Services if they are incorrect.
Advise warehouse staff which service to use for the different postcodes and/or the customers.
Generate labels for the UK parcels requiring invoices (Channel Islands) and ensure that correct commodity codes/pricing is used.
Gain knowledge of the warehouse IT system and troubleshooting errors with computer hardware (Printers, PC’s).
Ensure Warehouse supplies are monitored and maintained. Order despatch supplies with Purchasing and make sure there are enough labels/tags/bags and crates for the parcels.
Manage and monitor the collections by the parcel carriers and resolve any issues. Ensure all parcels are ready for the parcel carriers to collect at the set time. Trouble shooting when parcel carrier performance is inadequate.
Help Customer services to track and trace parcels.
Work with customers to resolve delivery issues.
Work with both warehouse and customer services to provide correct despatch information. Being the point of contact between warehouse picking team and customer services to resolve queries.
Oversee customer exchanges and ensure replacements are sent to customers quickly.
Transfer courier labels to courier portals each day to enable despatch.
Manage Oneship and Shiptheory with our dedicated courier options. Training provided.
Check invoices from UK parcel companies and approve to Accounts.
Work with current pallet carriers and make bookings for the pallet collections. Negotiate improved carrier and pallet rates for the business.
Communication with Customer Services to understanding specific customer delivery requirements, eg. Vehicle access sizes and types (tail lift, pallet truck), Hi Vis safety clothing, driver ID.
Provide PODs to Customer Services for all UK deliveries if requested.
Understanding of the Trade Support Service (TSS) Government portal to help move goods to Northern Ireland and how to make customs supplementary declarations.
Skills and Knowledge
Previous experience in similar role/logistics/shipping industry essential.
Working knowledge of Microsoft office.
Excellent attention to detail.
Ability to work well under pressure and to deadlines.
