About the mission we offer you:

The Site Operations & Services Supervisor (6 Months FTC, Maternity Cover) will be responsible for managing the facilities services for one office within a multi-tenant office block. This role involves supervising internal or external staff who perform facilities services and ensuring compliance with standard concepts, practices, legislation, and procedures within the field.

Main Accountabilities: Planning and supervising day-to-day operations, setting priorities within the job scope. Executing periodic inspections or tests related to facilities management duties. Training resources in specific areas of facilities management. Ensuring risk prevention and compliance with HSES rules, regulations, and practices. Monitoring the correct execution of contracts and supplies with contractors and suppliers. Approving requisitions for services, works, and materials, and managing payment requests in the company system. Overseeing the office Real Estate & Facilities budget and expenditure. Staying up to date with regulations and ensuring compliance from external contractors. Preparing monthly reports for Corporate Real Estate, including recommendations on facilities management. Overseeing meeting room bookings and acting as the point of contact for internal clients for meetings and event organization. Supporting office refurbishments, renovations, or minor works, ensuring H&S requirements are met. Managing office security, including the security system, liaison with landlords security, and ID badges. Liaising with the landlords on-site service team. Managing and supervising 100% of the activities of the Travel team. Maintain Invoice register.

About you:

Proven experience in Facilities Management, along with professional qualifications and certificates in various aspects of the field, such as first aid, fire marshal, HSE Awareness, risk assessment, COSHH awareness, waste regulations, and ISO certification awareness. An in-depth knowledge of UK laws and regulations is essential. Strong communication skills, both in person and in writing, are required, as well as proficiency in MS Word, Excel, and PowerPoint at an intermediate to advanced level. Strong organizational skills with the ability to see the bigger picture. Analytical and problem-solving skills to handle a complex and varied workload. The ability to prioritize tasks and manage multiple projects is crucial. A team-oriented and collaborative approach is necessary, along with a proactive nature and the ability to drive tasks to closure. Professional people skills and the ability to handle confidential work are essential. Excellent leadership skills, with the ability to guide and motivate others, are also required, as is commercial awareness. Must have full command of the English language and maintain a professional attitude. The ability to work well in stressful situations, along with flexibility and resilience. A proactive mindset with attention to detail and accuracy is required. Excellent verbal communication skills, capable of interacting with staff at all levels, are essential. The ability to use initiative and work with minimal supervision is necessary, as is being a strong team player with excellent multi-tasking skills.
