Responsibilities

To Support Heads of Department with a number of tasks including but not limited to: Ensure that the Heads of Department are supported and adequately prepared for upcoming meetings, trips and events with the appropriate information and paperwork Arranging, preparing and coordinating internal and external meetings including our training Tuesday meeting room bookings 50th anniversary event organisation Arranging travel, hotel, taxis and produce itineraries as well as collating any necessary documentation for trips Ensuring meeting rooms are booked for upcoming meetings and associated logistics Arranging restaurant reservations for lunch and dinner meetings Completion and processing of expenses for Heads of Departments / Deputy Head of Department and senior underwriters Assist with collating meeting documents for the team when required Attend and minute meetings as called upon ensure notes are distributed in a timely manner To implement and maintain new Client Relationship Management (CRM) tool and keep data up to date To download reports weekly and circulate to team To manage office mailbox and distribute enquiries to relevant team departments To support EA with conference management, away days, internal socials and broker / client events Broker and client event organizing to a) cement existing relationships going into a softening market b) attract new clients and brokers to scale our business Provide absence cover support for EA when required Qualifications

Experience of an office admin role Good interpersonal and customer service skills Structured approach to problem solving and dealing with ad-hoc activities Strong organizational skills to ensure workload is prioritized and fully completed on time Ability to effectively and efficiently communicate with all levels of the organization Good systems skills, particularly Microsoft Office suite, diary management and online applications Excellent telephone manner and overall standard of personal presentation To exhibit high level of due care and attention to detail To exhibit strong time management and to be proactive in completing tasks
