To find out more visit our website at www.happsa.com.au About the Role We are seeking a dedicated Bid Lead Manager to join our Melbourne office. In this role, you will play a vital part in managing the tender bid process, from the bid process to mobilisation with clients, writing, drafting, editing, coordinating, and delivering high-quality, accurate, concise submissions and proposal documents. This position supports General Manager Sales and Director of Sales in preparing bids, tenders, and proposals. This is a fast-paced environment and requires an energetic and highly organised person in a very diverse role who can handle multiple tasks, take ownership and think outside the box. Responsibilities: Manage the bid process Preparation of bids and tenders supporting the Sales team Collaborate with internal teams to ensure all documentation is accurate and submitted on time. Manage bids and reporting functions. Conduct client research and background analysis to support bid leads. Coordinate tender briefings and site inspections. Obtain pricing from suppliers for specialist services. Use your initiative to enhance bid processes and contribute to the development of compelling proposals. Compile and analyse data to ensure consistency and accuracy in tender submissions. Work closely with internal Sales and Operations teams to gather necessary information and ensure timely submissions. Requirements: Experience in writing and managing the bid process, ideally within the cleaning sectors. Familiarity with tender processes and related documentation. Strong organisational skills, with the ability to manage multiple projects and deadlines. High attention to detail and the ability to work independently and within a team. Prepare and deliver high-quality bid submissions and participate in bid meetings. Draft and edit non-technical components of bids, ensuring clarity and alignment with client requirements. Manage and maintain the bid and proposal database, ensuring all information is current and organised. Collaborate effectively with internal stakeholders to ensure seamless communication for each tender. Establish and manage Bid Action Plans to ensure timely and accurate submission of documents. Desired Skills and Experience: Senior – Adobe Create Suite- Indesign - Advantageous Advanced - Microsoft Office Word, Excel and PowerPoint skills Prior experience in a bid management role within the cleaning or a related property services industry. Strong organisational skills with the ability to manage tight deadlines and multiple submissions. Independent and innovative thinker with excellent problem-solving skills. Exceptional written communication skills with a keen eye for detail. Ability to thrive under pressure and deliver high-quality work within deadlines.
