Provide a timely, accurate and comprehensive range of administration, clerical to support inpatient areas within Longmoor House. The post holder will be a key member of the ward based administrative teams, maintaining confidentiality in relation to patient and staff information. They will work flexibly to meet the needs of the service and support ward and service processes with a high level of accuracy, a commitment to team working, and continuous improvement. Main duties of the job
Produce typed letters/reports for the ward on various issues relevant to the Service and distribute to others via internal mail and the e-mail system, as appropriate. Prepare agenda and papers for various meetings; attend, take and transcribe the minutes and distribute in accordance with agreed timescales. Process all patient referrals into the ward; update various systems and all patient discharge paperwork, scanning and printing relevant documents. Supervise others, planning their workload and dealing with any issues that they may have, ensuring all ward areas have administrative cover. Distribute relevant documents to members of the clinical team. Ensure an adequate process for disposing of confidential clinical information/documents. Act as first point of contact for visitors to the ward, handling all queries; signposting to correct area and providing information where appropriate. Maintain recording systems to support the monitoring of annual leave, sickness and training of ward staff via the online roster system. Maintain manual and electronic patient and ward records. Maintain provisions stocks and order any other items required for the ward. Liaise with clinical and other administration staff. Provide cover for colleagues as requested by Ward Managers and Admin Leads. Working for our organisation
