Remote Document Production Specialist – UK Based (12 month FTC)

The Role
The Document Production Specialist role provides an accurate and timely document preparation service. Working for various legal teams in a fast-paced environment, the role is ideally suited to a candidate who is both proactive and flexible. Advanced skills in Microsoft Word is required along with a good working knowledge of Excel, PowerPoint, DocXtools and Lexis Smart Forms.
The Document Production Unit is a central team that uses a task and ticketing system to manage their workload and assign tasks to individual members of the team. It is imperative that the Document Production Specialist engages with the ticketing and task management system throughout the duration of the task in a professional and timely manner, including accepting the instruction as well as communicating estimated turnaround times and delays back to the requestor.
The working pattern for this role will be Monday to Friday, 12:00 PM - 8:00 PM. This is a remote role, however we can also offer hybrid working from our London or Cambridge offices.
Duties and Responsibilities
- Creating and amending documents accurately
- Stripping document formatting, reformatting in house style and creating new styles
- Transcribing digital dictation (BigHand)
- Creating tables, flowcharts, and presentations to a high standard
- Advanced use of track changes and comparison software
- Troubleshooting problematic documents
- Creating and amending Excel documents, with strong knowledge of formulas
- Producing electronic court forms using Lexis Smart Forms
- Accurately interpreting complex instructions to produce documents within the required timescales, seeking clarification when necessary
- Proofreading and quality checking all work to ensure that completed documents are delivered accurately and to a high standard
- Answering and responding to all incoming requests in a prompt and effective manner
- Sharing knowledge across the team
- Keeping lawyers updated on the progress of their work
- Ensuring house style is adhered to and promoted on all documents
- Undertaking any other duties as reasonably requested by the team leader to meet the needs of the business
Skills/Experience
- Advanced skills in MS Word, Excel, PowerPoint, proofreading, DocXtools, Lexis Smart Forms
- Accurate typing speed of at least 60 words per minute
- Maintain exemplary accuracy and exacting eye for detail
- Excellent communication and team skills
- Able to work to tight deadlines yet remain calm under pressure
- Able to work independently
- Flexible, dependable and with a 'can do' attitude
- Self-motivated team player
